Professional Document Systems announced the successful implementation of an extensive document management system  at the offices of the New Mexico Secretary of State.

One of the challenges faced by the department was the ever increasing flow of paperwork due to their acquisition of the Corporations Division from the Public Regulation Commission (PRC).  The SOS wanted to enhance the efficiency process by automating the evaluation and tracking of corporate forms which were still being processed manually.

PDS presented the user and budget friendly, Application Extender document management suite.  This customized solution package consisted of: Document Manager, WEB Extender, Quick Scan Pro,  Custom reports and Canon Document Scanners. Together, these components offer many time saving conveniences to an organization constantly collecting information.

PDS installed and implemented this system, complementing the processes inherited from the PRC. The Department now has a fully functional and integrated system  which can still grow as their document management needs grow, ensuring long term stability and standardization.

About the New Mexico Secretary of State

Effective July 1, 2013, the Corporations Bureau of the NM Public Regulation Commission was transferred to the Business Services Division of the Office of the New Mexico Secretary of State in Santa Fe, New Mexico.  This move is a result of a Constitutional Amendment that was passed by the electorate in the November 2012 General Election and subsequent enabling legislation passed during the 2013  legislative session that now provides the Secretary of State (SOS) statutory authority to charter corporations

The Office of the Secretary of State is an elected state office, second in line of succession after the Governor and the Lieutenant Governor. When the Governor and Lieutenant Governor are absent from the state,  the Secretary of State shall perform the duties of the Governor.

At the start of each new legislative session, the Secretary of State (SOS) calls the House of Representatives to order, and presides over the body until a new Speaker of the House is elected.  In addition to these constitutional duties, the Secretary of State is responsible for administering the Office of the Secretary of State. The primary role is the state’s chief election officer.

The Secretary of State is the keeper of the Great Seal of the State of New Mexico, and affixes the seal to all commissions issued in the name of the state and signed by the Governor.
