El Paso, TX- Professional Document Systems is proud to announce a recent document services contract with the El Paso County Water Improvement District No. 1. The contract includes an enterprise-wide document conversion project that requires the organization, scanning, indexing, and importation of EPCWID1’s critical records.
PDS performed an in-depth analysis of EPCWID1’s files and proposed a comprehensive, effective solution that consists of the conversion of their records and the implementation of the ClickScan document management system to provide immediate digital access.
PDS began the first phase of the project with the conversion of highly important historical board meeting minutes, general ledger files, contracts, and accounts payable records into digital format. These records will then be imported into the ClickScan system for secure document storage and instantaneous access.
Future phases of the contract will encompass the conversion and importation of departments including tax, human resources, and water into the ClickScan system.
“EPCWID1 is our third installation of document management software for local organizations that handle water management within our county,” said Matt Bowman, President of PDS, “we have worked with them for a number of years, it is exciting to be able to preserve their minutes and contracts in a format that will provide them immediate access.”
The basic components of the system include:
• ClickScan- A simplified scanning system licensing for immediate access to records.
• Canon Scanners-The DR M160 High speed color scanner with duplexing capabilities and scanning speeds of 60 pages per minute.
• Comprehensive implementation and training- Consultation with each department to determine the best configuration of the software as well server and client installations
The El Paso County Water Improvement District No. 1 (the “District”) is a political subdivision of the State of Texas which was established under Article XVI, Section 59 of the Texas State Constitution. The District delivers surface water from the Rio Grande in El Paso County, Texas to water right lands in El Paso County and also assesses and collects taxes for the water right lands within its boundaries.
